AI answering service vs. a call center for property management
How an AI answering service and a call center compare for property managers: what callers hear, what reaches your team, and what a month really costs.

Most property managers who don't answer every call themselves pay someone to: an answering service, a call center, or a virtual assistant. An AI answering service is the newest option. It's worth comparing them on the three things that matter: what the caller experiences, what lands with your team, and what a month costs.
How each one works
A call center or answering service puts a person on the line. That person works for many companies at once and reads your script. They can take a message, and some can page your on-call person. They don't know your properties beyond the script, and they usually can't book a tour.
An AI answering service for property management is an AI voice agent on your phone line. It answers straight away without putting callers on hold, knows your listings and policies, and can finish the task: book the tour, log the repair, put an emergency through to a person.
What the caller hears
- Waiting. A call center has hold times when calls bunch up, which they always do on Monday mornings and after storms. An AI picks up on the first ring.
- Answers. A person reading a script can say "I'll pass that on." An AI that knows your listings can say whether the two-bedroom is available and when they can see it.
- Language. An AI agent can switch to Spanish when the caller does. Ask a call center what they charge for that.
- A human when it counts. A good AI answering service transfers callers to your team the way you set it: any time, only in office hours, or not at all. If nobody can take the call, it takes a message.
What lands with your team
This is where the two differ most. A call center usually sends you a message: a name, a number, a line of notes. Someone on your team still has to call back to get the details and do the work.
An AI agent sends you a record of a call that's already been handled: the tour that was booked, the maintenance request with the unit, the problem and whether it's urgent, the owner lead with their property details. You can listen to the call if you want to.
What a month costs
Call centers price by the minute or by the call, usually with a monthly minimum. Published rate cards run about $1 to $1.50 a minute, and a minimum of around $1,500 a month is common for a property management account.
AI answering services also price by the minute, at a fraction of that. Here's one month of 200 calls of four minutes each (800 minutes), using Utter's prices:
- Pay As You Go: $0.25 a minute for the AI, plus telephony and one phone number: about $214.
- Monthly Pro: $0.20 a minute with a $199 monthly subscription that goes toward your calls: about $209.
- A call center at the same volume: $1,500 or more.
Your numbers will differ. The calculator on our homepage estimates the AI cost for your own call volume, and What an AI receptionist really costs a property manager goes through every line of the bill.
When a call center still makes sense
AI doesn't fit every call. Keep people on the line when:
- an owner or resident relationship is sensitive and you want a person on every call
- calls are long disputes rather than requests
- your process depends on judgment calls you haven't written down yet
Many property managers end up with both: the AI answers first and handles the routine calls, and transfers the rest to people, whether that's your team or a smaller call center contract.
How to switch without risk
- Start with after-hours. Forward your phone to the AI at night and on weekends first. That's when call centers cost the most and your team is asleep.
- Make test calls. Call it as a renter, a tenant with a leak and an owner. Our list is in 10 test calls to make before you buy an AI phone agent.
- Set your transfer rules before you go live, and decide who is on call.
- Read the records for a week. You'll see quickly which calls it handles well and where it needs a rule.
You can keep your phone number: forward your calls to the AI's number, and stop forwarding any time.
Questions property managers ask
Is an AI answering service cheaper than a call center? For most property managers, yes, by a wide margin, because you pay only for the minutes you use and there's no large monthly minimum.
Does it handle maintenance emergencies? It should put them straight through to your on-call person. Never accept one that only takes a message for a burst pipe.
Will it work after hours and on weekends? That's where it's most useful: it answers every call, any hour, the same way.
